Set the annual forum calendar in one round

Rather than agreeing next month's date at the end of every meeting, propose the candidate days for the next quarter — or the next two — in a single poll. Members mark everything at once and the moderator sets the rhythm from the overlap.

A poll covers up to 120 days, which is enough to lock a quarter of forum days in one pass.

  • Exclude weekends, or specific blackout weeks, when you create the poll.
  • Maybe answers stay visible, so a member's soft conflict does not read as a hard no.

Rescheduling without restarting the thread

When a forum day has to move, the fastest recovery is a new poll over the two weeks either side, sent into the same chat with a 48-hour deadline. Answers land in one place and the replacement date is decided the next morning.

Chapter learning events and retreats

Chapter events involve a much bigger list, often with partners included. A link scales where a thread does not: everyone answers independently and the results grid shows exactly how attendance changes by date.

For multi-day retreats, read the grid for consecutive days rather than a single winner — the side-by-side layout makes a clean block obvious.

Open one poll across the candidate days for the next quarter, have every member mark all of them, and set the recurring dates from the overlap. Repeat once a quarter rather than deciding one meeting at a time.
What if a member can only do part of a day?
Add time slots to the dates in question — each day can carry up to 8 — so members can answer a morning and an afternoon option separately.
Do participants need an account?
No. Participants can open the shared link and mark their availability without creating an account. They enter a name, tap the days that work, and submit.
