How to find a date that works for everyone

Finding a date for a group is not a communication problem, it is a counting problem. The moment you can see every person's answer in one place, the decision takes about thirty seconds.

1. Decide the range before you ask anyone

Work out which dates you would actually accept. Rule out anything already blocked for you, anything too soon to organise, and anything that clashes with an obvious holiday or local event.

What remains is your range. Keeping it tight is the single biggest thing you can do to get fast answers: people answer a two-week window immediately and postpone a three-month one.

2. Ask once, in one place

Do not ask in a group chat. Answers arrive out of order, get buried, and change silently. Use a shared page where each person's answer sits in a row and stays there — an availability poll is exactly this.

Share the link where the group already talks, and say what happens next: "mark the days you can do by Sunday and I'll book the winner".

3. Read the results honestly

Look at three things: which date has the most people available, who is missing from it, and how many maybes it depends on.

A date with six available and one maybe is usually stronger than a date with seven available where the host is the maybe. Availability totals are a starting point, not the verdict.

4. Close it

Announce the date as a decision, not a proposal, and do it before the enthusiasm decays. Tell the people who marked maybe first — a maybe usually becomes a yes when there is a real date attached to it.

If nothing clears a reasonable bar, shorten the event rather than extending the search. A two-hour dinner will find a date that a full weekend never will.
