Executive forums
Date-finding for executive peer forums
A forum of eight to twenty chief executives is the hardest group in the world to schedule. Everyone has an assistant, a board calendar, travel booked two quarters out, and a different company's holiday schedule. EveryoneAvailable replaces the reply-all thread with one link that each member — or their assistant — answers in under a minute.
EveryoneAvailable is an independent scheduling tool and is not affiliated with, endorsed by, or sponsored by YPO, EO, Vistage, Tiger 21 or any peer-advisory organization. Those names are the trademarks of their respective owners and are used here only to describe who this tool is useful for.

Why peer-group scheduling is different
Most scheduling tools assume one company, one calendar system, and colleagues who can see each other's free/busy. A peer forum is the opposite: members work at different companies, on different calendar platforms, with security policies that make connecting a corporate account a non-starter.
What a forum moderator actually needs is a neutral surface, outside anyone's tenant, where members mark the dates they can protect and the overlap becomes obvious.
- No participant accounts, no app install, no Google or Outlook connection.
- Works for a member answering on a phone between meetings, or an assistant answering for them.
- Date ranges up to 120 days, so you can plan next quarter's forum day or a retreat six months out.
- Optional time slots per day when the day is settled and only the hour is open.
What forum teams schedule with it
Monthly forum meetings and half-day sessions. Quarterly chapter events and speaker evenings. Annual retreats, spouse or partner weekends, and multi-day offsites. Board and committee meetings for the businesses the members run.
The same poll shape covers all of them: propose a window, let people mark it, read the ranked result.
A worked example
A moderator planning a two-day forum retreat opens a poll across every weekday in March and April, excludes weekends with one tap, and sends the link to the forum's WhatsApp group and to the members' assistants by email.
Nine of ten answer within four days. The grid shows that 18–19 March is the only pair of consecutive days where nobody is travelling. The moderator closes the poll, exports the CSV for the chapter administrator, and books the venue.
How to run the poll so busy people answer
Keep the window tight enough to feel decidable and wide enough to be findable — a month of candidate weekdays beats an open-ended six-month range.
- Set a response deadline and say it in the message, not just in the poll.
- Copy assistants directly; they are usually the ones who know what is really blocked.
- Send the link where the forum already talks — the group chat, not a new email thread.
- Share the results link once the answer is clear, so nobody has to ask what was decided.
Frequently asked questions
- Do forum members need to create an account?
- No. Each member opens the shared link, enters a name, marks the dates that work and submits. Nothing is installed and no account is created, which is what makes it usable across a group that spans a dozen different companies.
- Can an executive assistant answer on a member's behalf?
- Yes. Whoever holds the calendar can answer, and they can type the member's name so the grid still reads correctly. A participant can return to their own link later and change the answer if plans move.
- Does anyone have to connect a corporate calendar?
- No. EveryoneAvailable never connects to Google Workspace, Microsoft 365 or any calendar system, so there is nothing for a member's IT or security team to approve.
- Is EveryoneAvailable free?
- Yes. EveryoneAvailable is currently free to use. There are no paid plans, no upgrade prompts, and no ads.
- How many people can participate?
- There is no participant limit on a poll. A poll can cover a date range of up to 120 days, and each day can have up to 8 time slots.
