Practice scheduling

Find the practice time most of your team can make

Practice attendance is a scheduling problem wearing a commitment costume. Most teams that struggle to fill a clinic are not short of willing players — they picked a court time that quietly excludes a third of the roster.

EveryoneAvailable is an independent scheduling tool and is not affiliated with, endorsed by, or sponsored by the USTA, UTR, World TeamTennis, ALTA, T2, or any tennis league or governing body. Those names are the trademarks of their respective owners and are used here only to describe who this tool is useful for.

Pick the slot from data, not habit

Most teams practise at a time inherited from a roster that has since changed. Polling four candidate evenings with two or three court times each takes your players ninety seconds and routinely surfaces a slot that beats the incumbent by three or four attendees.

Run it once a season, or whenever the roster changes materially. It is the cheapest attendance improvement available to a captain.

Booking court time with confidence

Clubs allocate courts to the teams that fill them. Walking into the tennis director's office with a grid showing nine players available at 7:30pm on Tuesdays is a far stronger request than asking for a time and hoping.

  • Offer the specific court times the club actually has, not vague windows.
  • Include one weekend morning option — it often outperforms weeknights for parents.
  • Ask for the whole block of weeks at once if you are booking a season of courts.
  • Use maybe answers to see which slots are borderline before you commit money to them.

Clinics, drills and coach-led sessions

Paid clinics have a minimum headcount, and cancelling one after players have blocked out the evening costs you attendance for the next one. Poll before you book the pro: the grid tells you whether the session clears its minimum, and which alternative slot clears it more comfortably.

Coaches running several groups can send the same poll to each and compare grids side by side when laying out a term's timetable.

Keeping attendance honest over a season

A recurring practice slot that worked in March often stops working in June as daylight, school terms and holidays shift. Re-polling mid-season takes a minute and either confirms your slot or saves the second half of your season.

Worked example

Example: a club team that moved practice and doubled turnout

A team practising Wednesdays at 6pm had been averaging four of eleven players for two months and assumed the team had lost interest.

  1. 1The captain polled four evenings with 6pm, 7:30pm and 9pm slots on each.
  2. 2Ten of eleven players answered within two days.
  3. 3The grid showed 6pm failed for everyone with a commute or school pickup.
  4. 4Tuesday at 7:30pm came back with nine available and one maybe.
  5. 5The captain took the grid to the club and moved the standing booking.
  6. 6The slot was re-polled at midseason and held up.

Average attendance went from four to eight players per session, and the club kept the court allocation because the slot was consistently full.

Frequently asked questions

Can I poll several weeks of practice at once?
Yes. Add each candidate evening as a date with its court times as slots, and the grid will rank the best-attended combinations across the whole block.
Is it useful for a coach running multiple groups?
Yes. Run one poll per group on the same candidate times and compare the grids before you lay out a timetable.
Do participants need an account?
No. Participants can open the shared link and mark their availability without creating an account. They enter a name, tap the days that work, and submit.
Is EveryoneAvailable free?
Yes. EveryoneAvailable is currently free to use. There are no paid plans, no upgrade prompts, and no ads.
How many people can participate?
There is no participant limit on a poll. A poll can cover a date range of up to 120 days, and each day can have up to 8 time slots.
