Send a single availability link to the group and its assistants. Each person marks the candidate dates and the ranked result shows which day loses the fewest members.
Because nobody signs up, response rates hold up even with the members who never reply to a scheduling email.

Speaker days and one-to-one blocks
For a resource-speaker day, the constraint is often the speaker rather than the group — poll the group across the dates the speaker offered and take the best result back to them.
For one-to-one blocks, add time slots to a settled day so members claim a window instead of trading messages about it.
Keeping the group's year on track
Poll a quarter at a time. It costs the members one round of answers, and it removes the recurring end-of-meeting negotiation about the next date entirely.
Annual calendar versus the annual retreat
Monthly group sessions and the group's annual retreat behave differently and are worth polling separately. Sessions can be set a quarter at a time with a short deadline, since the date is a recurring one members already plan around. A retreat should be polled much further out — most chairs start six to nine months ahead — because it has to survive vacations, other boards and travel that has not yet been booked.
Quorum, attendance and confidentiality
Most groups have an informal or written minimum-attendance expectation for a session to run as planned. When reading the results grid, weight the top date against that expectation rather than picking the single highest score if it leaves out members whose input the group specifically needs that month.
Who is or is not attending a given session is often not something a chair wants visible outside the group. Poll pages are not indexed by search engines and are reachable only by the link, and the organizer link showing the full grid is kept separate from what members see.
Chasing non-responders and locking the date
The organizer view lists responses as they arrive, so a chair can see exactly who has not answered and send a short, direct reminder rather than a reminder to the whole group. Once the top date clears the group's attendance bar, close the poll, export the CSV if you keep session records, and share the results link so the confirmed date is visible to everyone at once.
Worked example
Example: a 12-member group locking a Q3 session
A Vistage-style chair needs to set the next quarter's monthly session dates in one pass rather than negotiating each one at the end of a meeting.
