Name the range, let the poll name the date

Proposing a range instead of a date takes the social weight out of it. Nobody is vetoing anybody — people just mark what is open, and the calendar makes the call.

Long weekends first

Most girls trips are three or four nights. Poll the Thursday-to-Sunday blocks across a season rather than every date, and the consecutive run you need will be visible straight away.

If the group can't agree on a season, run two shorter polls instead of one long one: settle spring versus autumn first with a quick yes/no conversation, then poll the specific blocks within whichever season wins, so people are only ever answering one question at a time.

Decide before the deposit deadline

Rentals and flights set the real deadline. Close the poll a few days before you need to book, pick the top block, and share the decision with the people who marked maybe so they can confirm.

Working around kids, partners and jobs

Girls trips often stall because everyone is quietly weighing the trip against childcare, a partner's schedule, or a job that will not release the same week as everyone else's. Put those constraints in the open by asking people to mark 'maybe' rather than silently not responding, and set the poll's note field to ask specifically whether a maybe depends on childcare, work, or something else, so you know which maybes are likely to firm up and which are not.

It's fine if arrivals and departures don't line up

Not everyone needs to fly in and out on the same flight for the trip to work. Once the poll settles on a block of dates, let people arrive a day late or leave a day early if that is what makes their own travel affordable or workable, rather than treating the group's dates as an all-or-nothing commitment. Note in the poll who plans to arrive or leave outside the core block so the person booking the rental knows the exact headcount for each night rather than assuming everyone overlaps completely.

This flexibility is often what turns a stuck poll into a decided one: a friend who cannot commit to a full four nights may still be able to join for two of them, and letting her mark that instead of a flat unavailable keeps her in the group's plans rather than out of them.
