Getting busy executives to answer a scheduling poll
Senior people are not ignoring your poll because it is a poll. They are ignoring it because the ask was vague, the effort was unclear, and nothing happens if they skip it.
Create a free availability poll and share it with your group.
Reduce the ask to under a minute
Anything requiring an account, an app, or a calendar connection loses a meaningful share of a senior list immediately. One link, a name, a few taps, done — on a phone, between meetings.
Write the message like a decision, not a request
Say what is being decided, what the range is, and when you will close. "Q3 forum days — mark what you can protect by Friday, I'll publish the calendar Monday" gets answers. A bare link does not.
- Name the deadline in the message and set it on the poll.
- Say explicitly that assistants may answer on the member's behalf.
- Send it where the group already talks, not in a fresh email thread.
Go through the office
For most executives, the fastest path to an accurate answer is their assistant. Address them directly, give them the link, and they will usually answer faster than the principal would.
One reminder, then decide
Send a single reminder to the non-responders the day before the deadline, then publish the decision. Groups that wait indefinitely train their members that deadlines are optional, and the next poll gets fewer answers, not more.
Frequently asked questions
- How do you get a low-response group to answer a date poll?
- Make the answer take under a minute with no account, state a deadline in the message, copy assistants directly, and send one reminder before you decide. Response rate follows clarity and effort, not the tool.
- Should I chase everyone individually?
- Only the people who have not answered, and only once. The organizer view shows who is missing, so a targeted nudge is quick and does not annoy the people who already replied.
